About our privacy policy
Halitus Vitae B.V. highly values your privacy. Therefore, we process only data that we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never make your data available to third parties for commercial purposes.
This privacy policy applies to the use of the website and the services of Halitus Vitae B.V. made available thereon, as well as purchases and the provision of services in our physical store.
The effective date of these terms and conditions is 29/10/2025; upon the publication of a new version, the validity of all previous versions expires.
This privacy policy describes what data about you is collected by us, what this data is used for, and with whom and under what conditions this data may be shared with third parties. We also explain to you how we your
storing data and how we protect your data against misuse and what rights you have with regard to the personal data you have provided to us.

Regarding data processing
Below you can read how we process your data, where we store it (or have it stored), which security techniques we use, and who has access to the data.
Shop software
Within Halitus Vitae B.V., we use software from Odoo SA (Odoo). This Belgian company has developed an ERP package of the same name, which we use not only to build and manage our website but also for our point-of-sale, accounting, purchasing, service, and invoicing. In short, our entire company runs on this software. Odoo SA acts as a processor of personal data on our behalf. We remain the data controller in this regard.
Personal data that you make available to us for the purpose of our services is shared with this party. Odoo has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have concluded with them, Odoo is obliged to take appropriate security measures.
These security measures include the use of TLS encryption and a strong password policy. Odoo uses functional cookies to collect technical information regarding your use of the software.

Transactional email and newsletters
We send our newsletters and transactional emails using our Odoo webshop software. All confirmation emails you receive from our website and web forms are sent via Odoo's servers. Odoo will never use your name and email address for its own purposes.
At the bottom of every newsletter email you receive from us, there is a link to unsubscribe. By clicking on this, you will no longer receive any further newsletter communications from us until you re-subscribe.
You will continue to receive emails regarding the placement and processing of your order(s).
For purchases in our physical store, it is possible to request to receive a receipt or invoice by email. We will send this to you upon request.
If you have registered equipment with us for repair, maintenance, or warranty processing, you will receive status updates regarding this from us via email.
Regular email
We use the services of Zoho for our regular business email correspondence. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Zoho does not have access to our mailbox, and we treat all our email correspondence confidentially.
Payment processors
Payments via Mollie
We use the Mollie platform to process (part of) the payments in our webshop. Mollie processes your name, address, and place of residence details, as well as your payment details, such as your bank account or credit card number. Mollie has taken appropriate technical and organizational measures to protect your personal data. Mollie reserves the right to use your data to further improve its services and, in that context, to share (anonymized) data with third parties.
All safeguards mentioned above regarding the protection of your personal data also apply to those parts of Mollie’s services for which it engages third parties. Mollie does not retain your data longer than permitted by statutory time limits.
Payments via Klarna
To process (part of) the payments in our webshop, we use the Klarna platform. Klarna processes your name, address, and place of residence details, and your payment details such as your bank account or credit card number. Klarna has taken appropriate technical and organizational measures to protect your personal data. Klarna reserves the right to use your data to further improve its services and, in that context, to share (anonymized) data with third parties. In the case of an application for deferred payment (credit facility), Klarna shares personal data and
information regarding your financial position with credit rating agencies. All safeguards mentioned above regarding the protection of your personal data also apply to those parts of Klarna’s services for which it engages third parties. Payments via MyPos
To process (part of) the payments in our store, we use the MyPos platform. MyPos processes your name, address, and city details and your

Shipping and logistics
If you place an order with us and choose to have it delivered to your address or a pick-up point, it is our responsibility to have your package delivered to you. We use various carriers for this. You select a carrier during checkout.
We use the Sendcloud platform to ship your order. Sendcloud optimizes the shipping process for us.
To process the delivery of your order, we are required to share your data with Sendcloud and the carrier you have chosen. This data includes your name, address, and city details, along with your email address and telephone number. Your address is used to deliver the order to you. Your telephone number and email address are used to keep you informed of the shipment status. If there are problems with the delivery, the carrier can contact you using this information to resolve the delivery.
For deliveries outside the Netherlands, information regarding the goods you ordered is also provided to Sendcloud and the carrier. This is necessary for the customs declaration and the preparation of the required export documentation.
In the event that a carrier engages a subcontractor for the delivery of your order, your data regarding the delivery will also be made available to these parties.
Invoicing and bookkeeping
For the purpose of maintaining our administration and accounting, we use the services of Odoo SA. We share your name, address, and place of residence details, as well as details regarding your order. This data is used for the administration of sales invoices. Your personal data is transmitted and stored securely. Odoo is bound by a duty of confidentiality and will treat your data confidentially. Odoo does not use your personal data for purposes other than those described above.
External sales channels
Marktplaats.nl
We sell (a portion of) our items via the Marktplaats.nl platform. If you place an order via this platform, Marktplaats.nl shares your order and personal data with us. We use this data to process your order. We handle your data confidentially and have taken appropriate technical and organizational measures to protect your data against loss and unauthorized use.
Purpose of data processing
General purpose of the processing
We use your data exclusively for the purpose of providing our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time—other than at your request—we will ask for your explicit permission to do so. Your data will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality pursuant to the agreement.

Retention periods
We retain your data for as long as you are a client of ours. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also interpret this as a request to be forgotten. This also means that we will not retain your data for longer than two years.

We maintain a record of processed requests; in the case of a request to be forgotten, we record anonymized data. You will receive all transcripts and copies of data in the machine-readable data format that we use within our systems. You have the right at all times to lodge a complaint with the Dutch Data Protection Authority if you suspect that we are using your personal data incorrectly.

You always have the right to view the data that we process (or have processed) and that relates to your person or is traceable to you. You can submit a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data to the email address known to us, along with an overview of the processors holding this data, stating the category under which we have stored this data.

You always have the right to have the data that we process (or have processed) and that relates to your person or is traceable to you, processed by another party. You can submit a request to this effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send copies of all data concerning you that we have processed, or that have been processed on our behalf by other processors or third parties, to the email address known to us. In all likelihood, we will no longer be able to continue providing the service in such a case, as the secure linking of data files can no longer be guaranteed.

Right of objection and other rights
In appropriate cases, you have the right to object to the processing of your personal data by or on behalf of Halitus Vitae B.V. If you object, we will immediately cease data processing pending the handling of your objection. If your objection is well-founded, we will make copies and/or duplicates of the data that we process (or have processed) available to you and subsequently permanently cease processing. Furthermore, you have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies.
